Office Administrator

Overview

We are seeking a proactive, organised, and enthusiastic Office Administrator to join our client's busy Operations Team. This is a key role at the heart of the business, ensuring the office runs efficiently while providing essential administrative support across a range of operational activities.

Responsibilities

  • Monitor and respond to shared inboxes, including general enquiries, timesheets and customer care messages.
  • Monitor WhatsApp and telephone communications, redirecting messages 
  • Process, print, record and manage weekly timesheets and associated paperwork.
  • Maintain accurate logs for timesheets, completed jobs,  deductions, overcharges, returns and missing documentation.
  • Check job paperwork, completed records and missing paperwork reports, escalating issues to the relevant managers.
  • Support the Office Manager with health and safety administration, including training records, RAMS and related documentation.
  • Maintain vehicle administration records and support general office filing and document control.
  • Produce and update weekly reports relating to labour, hours over, deductions, losses, bonus runs and other operational data.
  • Use internal systems and Excel spreadsheets to record, track and update business information accurately.
  • Prepare reports and information for management review, including supporting documents and printed packs where needed.

Qualifications

    • Strong administration and organisational skills.
    • Excellent attention to detail and accuracy when entering or checking information.
    • Good working knowledge of Microsoft Outlook, Excel, Word and shared file systems.
    • Confident handling emails, phone calls and internal messages in a professional manner.
    • Ability to prioritise workload and manage recurring daily and weekly deadlines
    • Comfortable working with spreadsheets, logs and internal reporting processes
