Administration Coordinator

Overview

We are seeking a highly organised and detail-oriented Administration Coordinator to join our clients UK Small Projects Team. This role is pivotal in ensuring the smooth scheduling and management of inspections conducted by our small works teams. Reporting to the UK Resource Manager, you will play a key role in maintaining efficient operations and delivering exceptional service to our customers.

Responsibilities

As the UK Small Projects Coordinator, your main responsibilities will include:

  • Processing and creating sales orders through SmartVision.
  • Handling the procurement process by raising and monitoring purchase orders linked to customer orders.
  • Keeping internal tracking systems up to date and ensuring customers receive accurate information within agreed timescales.
  • Working closely with a designated team of engineers to record completed work and provide the necessary updates and documentation to customers.
  • Preparing and issuing invoices once projects and works have been completed.
  • Arranging external inspections and managing the associated purchase orders.
  • Reviewing existing processes and introducing improvements to support greater efficiency and productivity across the department.
  • Providing general business and administrative support to the Head of Business & Support as required.

Qualifications

  • Excellent organisational skills.
  • Previous administration experience in a busy office, ideally data entry and using CRM systems
  • Proficiency in relevant software, including Word, Excel, and CRM systems.
  • Exceptional relationship-building skills, with the ability to work both independently and collaboratively within a team.
  • A high level of accuracy and attention to detail.
