Executive Support Coordinator
Overview
We are seeking a highly motivated and detail-oriented Executive Support Coordinator to join a dynamic team, playing a critical role in supporting executive-level operations and contributing to strategic decision-making. This position involves providing comprehensive administrative assistance to Board members and senior leadership, managing complex calendars, coordinating meetings and travel, preparing reports and presentations, and liaising with internal and external stakeholders to ensure effective communication. The role also includes project administration support, assisting with the coordination and delivery of key initiatives, and actively contributing to the success of exciting new projects across the organisation. The ideal candidate will demonstrate exceptional organisational and time-management skills, strong interpersonal and communication abilities, and a proactive, professional approach to problem-solving in a fast-paced environment. Responsibilities
- Serve as the primary point of contact for managing executive schedules, coordinating appointments, and maintaining calendars.
- Handle a variety of administrative duties, including preparing correspondence, presentations, and reports for executive-level meetings.
- Act as a liaison between the executive team and internal/external stakeholders.
- Coordinate travel arrangements, including detailed itineraries, accommodation, and logistics, ensuring smooth transitions for executives.
- Ensure prompt communication, prioritize messages, and handle confidential information with professionalism and discretion.
- Support the preparation and execution of meetings by preparing agendas, taking minutes, and distributing post-meeting follow-ups.
- Collaborate with leadership on strategic initiatives, project management tasks, and ad hoc projects as needed.
- Assist with office support tasks, including maintaining office supplies, managing expenses, and facilitating special events.

Qualifications
- Proven experience as an Executive Assistant, Office Support Specialist, Project Administrator or similar role.
- Strong organisational and multitasking skills, with the ability to handle competing priorities in a fast-paced environment.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other standard office tools.
- Demonstrated ability to work with highly confidential information and maintain discretion.
- Excellent interpersonal skills with a focus on relationship-building and problem-solving.
- A proactive mindset with strong attention to detail and accuracy.
