Project Coordinator

Overview

We are looking for a Project Coordinator to join this dynamic team. This is a fast-paced role where you’ll play a pivotal part in ensuring the seamless delivery of our projects, working alongside some of the most talented professionals in the industry.

Responsibilities

  • Coordinate crew availability and book travel, accommodation, and transport (e.g., hire cars, trains, flights, visas).
  • Maintain and update Crew Planners in Teams/Excel to reflect changes.
  • Raise purchase orders for onsite crew, travel, and accommodation in line with company procedures.
  • Manage the welfare and logistics of onsite crew and freelancers.
  • Support Project Managers to ensure smooth day-to-day project operations.
  • Be available out of hours when projects are onsite.
  • Prepare and manage project and site files, ensuring compliance with company procedures.
  • Maintain internal project planners, tracking key personnel and critical dates.
  • Ensure all documentation, including ID and accreditation, is in place for crew and freelancers.
  • Process and approve freelance site/workshop invoices.

Qualifications

  • Positive attitude, drive, and enthusiasm.
  • Highly organized and able to work under pressure and meet tight deadlines.
  • Proven experience in coordination, logistics, or administration roles.
  • Strong planning and logistical skills.
  • Excellent problem-solving abilities.
  • Proactive, methodical, and organized approach to work.
  • Strong communication skills, both written and verbal.
  • Ability to prioritize tasks effectively and meet deadlines.
  • Proficiency in Microsoft Word, Excel, and Outlook.
