UK Bid Team Leader

Overview

We are seeking a highly motivated and experienced UK Bid Team Leader to join our clients dynamic team. This role is pivotal in coordinating and supporting the day-to-day activities of the Sales Coordination team, ensuring the efficient delivery of sales support, bid administration, project coordination, and exceptional customer service. Reporting to the Head of UK Sales, the successful candidate will provide guidance, coaching, and practical support to the team while maintaining high standards of service, accuracy, and responsiveness.

Responsibilities

This is a multifaceted role including both Team Leadership and Sales Coordination 

Team Leadership

  • Oversee the day-to-day activities of the Sales Coordinator team, providing direction, coaching, and support to promote a positive, collaborative, and customer-focused working environment.
  • Organise and distribute workloads across the team, ensuring priorities are managed effectively and both internal deadlines and customer requirements are achieved.
  • Hold regular one-to-one reviews and coaching sessions to discuss performance, provide guidance, address challenges, and support individual career and skills development.
  • Assist with the induction and onboarding of new team members, helping them settle into the role and identifying opportunities to build knowledge and capability across the wider team.
  • Provide support and guidance on more complex customer enquiries, taking ownership of issues that require escalation and ensuring they are resolved efficiently.
  • Track team performance against agreed targets and KPIs, highlighting key trends, challenges, and achievements to the Head of UK Sales through regular operational updates.
  • Identify opportunities to improve ways of working, taking the lead on initiatives that streamline processes, increase efficiency, and strengthen the level of service provided to customers.

Sales Coordination

  • Produce tailored proposals, pricing quotations, and tender submissions in line with individual customer and project requirements.
  • Liaise across Sales, Design, and Contracts Delivery functions to ensure relevant project details are communicated clearly and work progresses within agreed timescales.
  • Take responsibility for keeping sales pipeline records, CRM data, and reporting dashboards accurate, current, and fully maintained.
  • Arrange and coordinate site visits, customer appointments, meetings, and internal project reviews, ensuring all parties have the necessary information.
  • Manage incoming customer requests efficiently, providing clear and accurate guidance on products, costs, availability, and project-related information.
  • Work alongside Area Sales Managers, providing the administrative coordination and practical support required to facilitate their day-to-day sales activity.
  • Assist with wider departmental and cross-functional projects, including coordinating campaign administration, maintaining records, and monitoring activity and progress.
  • Help maintain a consistent approach to sales administration by following agreed processes, sharing best practice, and ensuring documentation is accurate and appropriately maintained.

Qualifications

  • Previous experience in a sales coordination or bid coordination role, with proven leadership or supervisory experience 
  • Proven ability to support, coach, and motivate colleagues in a team environment.
  • Strong organizational and workload management skills, with the ability to manage multiple priorities.
  • Excellent communication and relationship-building skills with internal and external stakeholders.
  • Proficiency in Microsoft Office and CRM platforms.
  • Experience monitoring performance data and producing operational reports.
  • Familiarity with the tendering process and the UK’s procurement act is desirable.
