Office Administrator (FTC - 3 months)

 

Overview

We are seeking a detail-oriented and proactive Office Administrator to join our clients team in central York. The ideal candidate will play a critical role in ensuring the smooth day-to-day operations of our office while fostering a welcoming environment as well as providing key administrative support for senior advisors in the firm. This position offers an excellent opportunity to support a collaborative team and contribute to the success of the organisation.

  • 3 months full-time work - working Monday to Friday office hours of 9am-5pm

 

Responsibilities

  • Assist with the new client account opening process as appropriate
  • Assist with drafting client reports and correspondence that would accompany valuations, dealing letters or recommendations and responses to ad hoc client requests or queries
  • Typing and filing
  • Present documents professionally and in an appropriate format for Manager sign-off
  • Proof-read and check documents
  • Maintain filing systems, update information regularly and ensure internal CRM system is kept up to date
  • Complete SharePoint forms for Managers approval
  • Prepare payment, receipt, transfer and other forms for Manager approval
  • Help resolve administrative queries
  • Take telephone messages and relay to Advisors
  • Ensure client background & suitability reports are kept up to date
  • Make low risk payments via CRM up to £50k
  • Develop relationships with clients by arranging and assisting at meetings as appropriate, including the preparation of necessary documentation
  • Check dealing data to ensure reporting procedures are followed correctly
  • Prepare transactions on the Firm’s systems for processing by the Advisors

 

Qualifications

  • Previous office experience, ideally in financial services 
  • Excellent written and verbal communication skills
  • Able to develop and maintain excellent internal and external relationships
  • Good customer facing skills
  • Analytical and numerate
  • Computer literate and advanced user of Microsoft Excel, Outlook and Word
